# Meetings and notes

> Sync meetings from your Google or Outlook calendar and notes from Granola onto the right deals in Ghost, with AI summaries, next steps, meeting tasks and automatic sequence pauses.

Ghost can pull meetings from your calendar and notes from Granola onto the matching deal, so every call sits in the same timeline as your messages. It then uses them: booked meetings move deals forward and pause campaigns, and next steps become tasks.

**Where to set it up:** **Pipeline → Settings → Meetings**.

## Calendar

Switch on **Log meetings from my calendar**. Ghost reads the main calendar of the Gmail or Outlook mailbox you [connected for email](https://www.growwithghost.io/docs/getting-started/connect-email). Meetings with people in your pipeline appear on their deal, matched by **attendee email address** only, never by name or company domain.

When you first switch it on, Ghost looks 30 days back and 30 days ahead.

> **Tip:** If sync says calendar access is missing, reconnect your mailbox in **Campaigns → Outbound Config** to grant it.

## Granola notes

Click **Connect Granola** to pull meeting notes and next steps onto the matching deal. Only meetings with people already in your pipeline are imported. For each meeting, Ghost writes:

- a short summary
- up to 6 next steps, with who owns each (you or them) and when it's due
- commitments, objections, buying signals, budget and timeline

## What meetings do automatically

| Setting | Default | What happens |
|---------|---------|--------------|
| **Pause campaign sequences when a meeting is booked** | On | Automated steps stop for that person. You can still message them and queue follow-ups yourself. |
| **Turn my next steps into tasks** | On | Your next steps from Granola notes become [tasks](https://www.growwithghost.io/docs/pipeline/tasks). |
| Deal stage | Always | A booked meeting moves the deal to a stage named like meeting, call, demo or discovery, or to **Qualified**. |

Ghost also creates tasks when someone misses a meeting (rebook), when a meeting happened and you haven't followed up, and when a next step they promised is overdue.

## On the deal

The deal's **Meetings** tab shows upcoming and past meetings with their status (**Upcoming**, **Held**, **No-show** or **Cancelled**). From there you can:

- join the call, or open the notes in Granola
- mark a meeting as held or no-show
- re-read the notes
- unlink a meeting that isn't this person's
- log a meeting by hand

**Suggest follow-up** uses the meeting summary and next steps, so drafts reference what was actually said.

## Privacy

Calendars and Granola are checked automatically through the day. Meetings nobody in your pipeline attended are deleted after 30 days. **Delete calendar data** and **Disconnect and delete notes** remove what Ghost has stored.

## FAQ

### Which meeting tools does Ghost support?

Your Google or Outlook calendar (through the mailbox you connected to Ghost) and Granola for notes. Zoom, Fireflies and other recorders aren't connected directly.

### Why didn't a meeting show up on a deal?

Ghost matches meetings by attendee email. Make sure the contact's email in Ghost is the one they used for the invite, and that they're in your pipeline.
